Gathering Circulation Statistics for Specific YearsItem records contain 4 fields which track circulation activity:
- TOT CHKOUT: This records a running lifetime checkout total for each item.
- TOT RENEW: This records a running life time renewal total for each item (included in the total checkout figure).
- YTDCIRC: This records the number of checkouts that have taken place thus far in the current calendar "Year To Date."
- LYRCIRC: This records the number of checkouts that took place during the "Last Year," again the last calendar year.
For items on reserve, Chinook operates in a slightly different fashion. When an item is placed on reserve, the TOT CHKOUT field is reset to 0. The "original" total checkout figure is stored in a temporary field OCHKOUT. Once the item has been removed from reserve, the OCHKOUT and TOT CHKOUT figures are added together into a new TOT CHKOUT figure.
Gathering Circulation Data for the Current and/or Last Years
In order to obtain circulation transaction data for materials checked out last year (2004 as of this writing), the easiest way is to use Create Lists and search on the LYRCIRC field.
In order to obtain circulation transaction data for the current year (2005 as of this writing), you should use Create Lists and search the YTDCIRC field-obviously this will only include stats from January 1st to the current date.
Gathering Circulation Data for Previous Years
Currently, there is no way to gather specific-year circulation data pre-2004 as this information must be gathered and stored locally and we have not done so in the past. In 2004, however, COG began archiving circulation data for previous years and plans to continue doing so in the future. Information from the following item and bib record fields are stored in the file below:

Anyone may use this data for his/her research or work purposes by downloading the file either as is or by exporting the data into another format. The Systems office will provide support for specific projects by assisting with the download/formatting process.
